Suggestions needed for complaint

Hi June,

I've got some complaints for exhibition Sound System 2011 at the Fortune Hotel(23-25 February) and I'd like to ask for your kindly help on handling the case.

One of the exhibition attendee was concerning the online registration. He claimed that the registration system was unworkable and he failed to apply by using the online registration system. Besides, the attendee complained that the exhibition venue was overcrowded particularly at peak visiting times. He also pointed out that the leaflets were not enough.

I know that you're familiar with handling these kinds of complaint. So can you give me some ideas to deal with this case? Thank you for your help.

Investigation progress about Complaint received

Dear Ms Kong,

I am writing to report about the investigation result of complaint received on 10th Mar 2011. It was written from Michael Leung, one of the attendee of our exhibition Sound Systems 2011. He mentioned three problems in total about the exhibition. After our investigation, here are the problem information and possible causes:

1) The online registration
Mr Leung complained that the online registration facility was unworkable and application he sent was not accepted by the system. It seems that this problem was caused by the limitation of our server capacity, resulting in a overloading of system during high traffic period. Hence I recommend that we should upgrade the server of online registration for the coming exhibitions, in order to avoid similar problem.

2) Overcrowding at exhibitions
He also reported that the venue for Sound Systems 2011 exhibition was too small, leading to serious overcrowding in venue during peak visiting times. It was possibly a consequence of late booking for larger venue. Therefore it is suggested that we should arrange booking of exhibition venue earlier, avoiding the problem of space lack during exhibition.

3) Lack for leaflets
He complained that there were not enough printing materials related to exhibition products. In this sense, we actually recommended guests to get electronic version of the product information because of environmental concern. Thus, I would like to explain our vision about this, and I suggest sending a full set of leaflet to Mr Leung this time, to meet his need.

Thanks you for your letter of 10 March.

We apologize that our exhibition caused you inconvenience.

We have tried our best to set up a good on-line registration system. However, it caused you a lot of time to register due to the small capacity of our server that could not function well when there are many visitors using our system. To improve the situation, the server will be upgraded in order to function well and support a larger flow of visitors.

For the venue concern, due to the lateness of the booking, a larger venue cannot be booked for our exhibition. We will book the venue early next time to ensure providing a greater venue to our guest.

We have tried to provide complete product information to our guest in different way by leaflet, helper and also electronic version. Because of the environmental concern, we have tried not to print too much leaflet. Instead of this, our guests are encouraged to assess our Internet and get more information. To fulfill your request, a full set of leaflet will be sent to you.

We appreciate you support to our function and we want to every part to be satisfactory.
